Nursing Administration - Clinical Timecard Editor Job in Missoula at Lifepoint (2024)

This is a full time (0.8 - 1.0 status), day shift Clinical Timecard Editor position in the Nursing Administration Department.

POSITION SUMMARY

The Clinical Timecard Editor plays a pivotal role in shaping the culture of Community Medical Center by building solid relationships with senior leaders, department directors, and clinical staff throughout the domains of patient care services. He/she ensures consistent application of workforce policies and persistent compliance of bargaining unit agreements. The incumbent monitors day-to-day activities in staff scheduling and time and attendance accounting to assure all aspects of performance are followed accordingly. The incumbent establishes and maintains a central calendar detailing due dates for ongoing reports etc. Generates specified statistical, financial, and program-specific reports at required intervals and on-demand. He/she collaborates with nursing directors to provide assistive material matters and administrative support for those programs for which the director is accountable. The incumbent has access to confidential information on a regular basis and this access is necessary to job performance. He/she must exercise discretion, initiative, and good judgment, as well as project a positive image of the office.

PRIMARY (ESSENTIAL) DUTIES:

Support and Coordination:

  • Serves as primary coordinator for clinical directors within the patient care services domain. Works in tandem with the Chief Nursing Officer to ensure optimized and efficient nursing operations.
  • Plans, coordinates, schedules, and supports a variety of meetings and forums for the CNO and nursing directors. Prepares materials and matters pertinent to purpose. Codifies content in annotated notes or formal minutes when required. Distributes minutes as applicable.
  • Assumes responsibilities and completes key tasks for nursing celebrations such as Daisy Awards and Nurses Week. Coordinates participants and volunteers to execute events.
  • Prepares a variety of reports in response to need. Gathers and verifies personnel rosters ahead of LMATs, MORs, and RNPCCs. Facilitates documentation requirements of/for contract labor personnel.
  • Provides back-up support to front office Executive Assistants. Performs secretarial duties as required in support of the CEO, COO, CFO, and CMO.
  • Demonstrates outstanding customer service for all staff. Embodies our core values and demonstrates them in all interactions.

Reports and Analyses:

  • Produces a variety of reports in support of nursing operations. Maintains databases and update as necessary to provide timely and accurate information at required intervals.
  • Performs requisite evaluations (i.e. TPD, unscheduled absences) in accordance with the hospital’s bargaining unit agreements and federal, state, and local government regulations. Conducts analyses of each evaluation.

KRONOS Timecard Editor, Auditor, and Educator:

  • Partners with Human Resources and Fiscal departments to oversee and manage the KRONOS timecard process. Participates in process improvement activities. Continuously improves knowledge of and performance in the KRONOS application. Adjusts practices based on local and HSC guidance.
  • Participates in orientation of new hires and ongoing education of clinical staff in proper methods of badging in and out at the time clock. Maintains and provides leaders and staff quick reference guides of cost centers and pay codes. Responds to individual queries for assistance on appropriate and applicable pay rules and cost center charges.
  • Performs continuous audits of clinical staff timecards. Identifies and reports trends in badging errors and shifts less than/over employees’ bids to nursing leaders. Ensures timely and accurate edits.
  • Prepares timecards at end of each pay period for supervisors’ approvals. Verifies individual timecards match MyChoice scheduled entries. Investigates discrepancies with applicable parties and corrects entries based on discoveries. Maintains integrity of work hour accounting. Supports Fiscal Services and HR Department as directed.
  • Responds to emails, calls, and messages related to timecard entry activity. Meets with staff upon request. Takes timely action reporting back to both requestor and his/her supervisor of actions taken, or rationale if not. Makes necessary historical timecard edits.

Symplr ShiftSelect (MyCHOICE) Administrator:

  • Creates user profiles. Audits information for accuracy.
  • Participates in orientation of new hires and ongoing education of directors and clinical staff in use of application.
  • Queries system for validation of KRONOS entries when necessary.
  • Partners with House Administrators and Directors to accurately code individual shifts as intended. Corrects errors upon discovery once verified.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in relevant field required.
  • Minimum of 2-3 years relevant experience in an office environment managing key administrative support programs.
  • Previous experience in a health care setting highly desirable. Familiarity with standard concepts, practices, and procedures within the nursing fields highly desirable.
  • Proven skill in process ownership and program management. Knowledge of general administrative office procedures and practices. Ability to use data to run graphical displays.
  • Competence in a wide range of computer applications utilizing key software in Microsoft Office including WORD, Excel, PowerPoint, and TEAMS. Ability to operate personal computer, FAX machine, copy machine, and audiovisual display platforms required. Competence in KRONOS Workforce Central and Symplr Shiftselect or similar purposed applications highly desirable.
  • Ability to effectively communicate in oral and written form and maintain confidentiality of both sensitive and protected information.
  • Ability to be self-directed in accomplishing the coordination and decision-making responsibilities of this position and be resourceful in problem solving.

Weekend Requirements:As Required.
